Teams Conference Room Instructions
Before Joining the Meeting
1. Check to make sure the wireless keyboard and the mouse are powered on using the button on the bottom of each device.
2. Click the Space Bar on the Keyboard, wait for the TV to power on, if the TV screen stays black, continue to step 3 and 4.
3. Make sure the TV and the computer mounted behind the TV are powered on by:
1. Press the power button on the TV remote control to turn the TV on.
2. Press the power button on the computer behind the TV to turn it on.
4. Wait for the computer to load and start the meeting, it should sign in automatically.
Joining the Meeting Instructions
1. Open the Teams application from the conference room computer desktop icon or taskbar icon.
2. Click on the Teams Calendar.
3. Click on the Meeting Scheduled.
4. Click the Join button.
5. Make sure the following settings are correct:
a. Camera toggle switch is on.
b. Computer Audio has a check mark.
c. Microphone toggle buttons is on, Volume line is set to more than 50%.
7. Click Join now to join the meeting.
8. Click on More at the top of the Team’s window.
9. Click Full Screen from the drop-down menu.
Sharing Content from the Conference Room Screen
1. Follow the Joining the Meeting Instructions section, steps (1-9) to join the meetings.
2. Click the Share Content button from the Team’s window at the top right corner.
3. Select the Screen option.
Ending the Meeting
1. Click the Leave button to end the Meeting, OR you can use the Poly Lens Remote control to hang up the call by pressing the end call red button.
2. Leave the Team’s Calendar open on the screen.
3. Leave the TV and Computer on.
4. Turn off the Mouse and Keyboard using the button on the bottom of each device.
Sharing Virtual Desktop Content from a Conference Room
Logging in to your Virtual Computer
1. Follow the instructions from the Sharing Content from the Conference Room Screen section on Page 2, steps (1-3).
2. Open VMWare Horizon Web Client from the Desktop.
3. Login to your virtual desktop by entering your work username and password.
4. Click on VDI Production
5. Click on Advanced
6. Click on the link that reads: Continue to (unsafe), located at the bottom of the web page
7. Click OK to enable Audio
Disconnecting from your Virtual Computer
1. Click the tab on the left side of the screen (ghosted gray color three lines tab).
2. Click on Open Menu button located at the top right corner of the Side Bar (button with three dots and three lines)
3. Click Log Out
4. Click Ok
5. Close the Browser
6. To stop sharing your screen, follow the steps in the Stop Screen Sharing section below, steps (1-3).

Stop Screen Sharing (Presenting)
1. Move the mouse to the top center of the screen (the Teams toolbar will dropdown).
2. Click on the Stop Presenting button.
3. Follow the instructions from the End the Meeting section on Page 2,
steps (1-4), to disconnect from the Teams meeting.
For Laptop Computer and Remote Users
Using a laptop computer in the conference room, or joining a meeting hosted in a conference from a remote location allows you to share your screen with those in the room from your device, you can do this by following the steps below:
1. Bring your own company provided laptop to the meeting
2. Join the Teams meeting using one the options below depending on your location:
a. Remotely (Home or Office): Join the meeting with Computer Audio or Phone Audio option depending on your preference.
b. Laptop in the Room: Join the meeting with the Don’t Use Audio option.
3. Share your screen in the Teams application once the meeting is active.
Please Note: Sharing the screen can also be performed even if the participant presenting is working remotely and not on premises.
